Whatever the type or form of correspondence, an efficient and economical communication service requires that correspondence of good and effective quality should be produced promptly and at an economical cost.

Two interrelated stage are involved in complete production of correspondence. In the first stage, the message to be conveyed through the correspondence has to be composed or drafted. In the second stage, the draft of the correspondence has to be neatly typed and or duplicated before making it ready for despatch to its intended destination.

How and by whom correspondence will be composed or drafted depends to a great extent on the size of the office, the nature and volume of the correspondence, and the degree of mechanisation in the office in question. In small offices, correspondence of important, complicated or confidential nature may be drafted by the principal himself or the secretary, whereas simple or routine correspondence may be entrusted to the clerks. However, even in that case, important letters requiring special attention or involving policy matters may be drafted by departmental executives or top management personnel.
